This policy explains what information Integrate Comfort Systems collects when you use this website, call us, or have work done at your property, and what we may do with it. It applies to icshvac.com and to the enquiries, bookings and service records that come through it. It does not cover any other company’s website, even where we link to one or embed something they host.
Wherever this policy says may, it means the practice is possible and permitted rather than certain in every case. Not every tool described here is in use for every visitor or every job.
Who is responsible for your information
Integrate Comfort Systems, 736 Gotham Parkway, Carlstadt, New Jersey 07072, is the business responsible for the information described here. You can reach us at mail@icshvac.com or on (866) 749-6331. Our Belleville and Englewood Cliffs offices are part of the same business and share the same records.
Information you give us
When you fill in a form, book a visit, ask for an estimate or call the office, we collect what you provide. Typically that is your name, service address, billing address, phone number and email address, plus what you tell us about the property and the equipment — system type, age, symptoms, photographs you send, access arrangements and the building’s rules about entry.
If you go on to have work done, the record grows to include the job itself: what was found, what was fitted, model and serial numbers, test readings, invoices, payments and any warranty or maintenance agreement. Payment card details are handled by our payment processor. We may hold a record that a payment was made and the last digits of the card, but we do not need or keep the full card number.
Information collected automatically
Like most websites, this one may record technical information when you visit: IP address, approximate location derived from it, device and browser type, referring page, the pages you view and how long you stay. This is used to keep the site working and to understand which pages are useful.
We may use call tracking. Some phone numbers shown on this site can be swapped for a routing number so that a call can be attributed to the page or advertisement that produced it. Calls to and from our offices may be recorded or monitored for training, dispatch accuracy and quality. If a call is being recorded you may ask for it not to be, and we will take the request by hand instead.
Cookies and similar technologies
This site may set cookies and use similar storage for three purposes: to make the site function, to measure traffic through an analytics provider, and to support advertising — including tags that let an advertising platform know that a visit or an enquiry followed one of our ads. Analytics and advertising cookies may be set by third parties under their own policies.

Information from other sources
We may receive information about you from parties you have already dealt with: a manufacturer or distributor registering equipment, a lender processing a financing application you asked for, a utility or state programme administering a rebate you applied for, a property manager or landlord arranging access, a general contractor on a construction project, or a review platform where you have left feedback. We may also use publicly available property data to prepare an estimate.
How we use information

- To carry out and record the work, including test readings and equipment details
- To invoice, take payment and manage financing you have applied for
- To register equipment for manufacturer warranty and to submit rebate paperwork on your behalf
- To provide maintenance reminders and follow up on plan visits
- To meet contract, tax, licensing and safety record-keeping obligations
- To improve the site and, where permitted, to market our own services to existing customers
We may send you service messages about a booking or a visit by phone, email or text. Marketing messages are separate: where consent is required we will ask for it, and you may withdraw it at any time by replying STOP to a text, using the unsubscribe link in an email, or writing to the address above.
When we share information
We may share what is necessary with: technicians and subcontractors performing the work; software providers who host our booking forms, scheduling, phone system, email and customer records; payment processors; equipment manufacturers and distributors for parts, warranty and registration; lenders where you have applied for financing; utility and state programme administrators where you have applied for a rebate; and professional advisers, insurers or authorities where the law requires it or where we need to establish or defend a legal claim. If the business were ever sold or reorganised, customer records may transfer with it.
This policy does not authorise the sale of your personal information for money. If Integrate Comfort Systems ever engaged in something that counts as a sale or a cross-context sharing of personal information under state privacy law, we would say so here and offer a way to opt out.
How long we keep it
Enquiries that do not become jobs may be kept for a limited period so that we can pick up the conversation if you come back. Job records, invoices and installation documentation may be kept for as long as the equipment is likely to be in service and for the periods that contract, warranty, tax and New Jersey contractor record-keeping rules require, which is longer than most people expect. After that, records are deleted or anonymised.
Your choices
You may ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it, or ask us to stop using it for marketing. Depending on where you live, state law may give you a formal right to some of these and a right not to be discriminated against for exercising them. Email mail@icshvac.com with the request and enough detail for us to find your records. We may need to verify who you are before we act, and we may have to keep information that a legal or contractual obligation requires us to hold.
Security
We take reasonable steps to protect the information we hold, including access controls on our systems and contracts with the providers who process data for us. No website, email system or database is completely secure, so we cannot promise that a determined attack will never succeed. If a breach affecting your information occurred, we would notify you where the law requires it.
Children
This site is meant for adults arranging work on a property. It is not directed at children, and we do not knowingly collect information from a child. If you believe a child has provided information through this site, contact us and we will delete it.
Third-party content on this site
Some pages embed content hosted elsewhere — maps of our offices, videos from our channel, and the booking and enquiry forms. Loading that content may let the provider set cookies and see your IP address under their own privacy terms, which we do not control. Links to other websites are outside this policy.
Changes to this policy
We may update this policy as our tools or obligations change. The date at the top shows when it was last revised. Continuing to use the site after a change means the revised version applies.
